Brief description of WFP in Uganda
WFP delivers food assistance in emergencies and work with communities to improve nutrition and build resilience. WFP provides life-saving food assistance and livelihood opportunities to refugees in Uganda. In addition, WFP assists the most vulnerable people in Karamoja with food and nutrition assistance. Finally, WFP works with smallholder farmers and links them to markets.
As Uganda strives to achieve Zero Hunger by 2030 and become a middle-income country by 2040, WFP is also assessing its relevance and repositioning its role in Uganda.
ARE YOU UP TO THE CHALLENGE?
We are seeking a qualified individual for the position of Business Support Assistant (Help Line Operator), SC4 to be based in in Kampala. The selected candidate will be employed on service Contract.
ORGANIZATIONAL CONTEXT
These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders may either perform administrative support functions in the front office and report to the Business Support Associate, or provide administrative support to team(s) with the reporting line to the relevant Head of Unit, Chief, or the designate. In cases where these positions support a specific business stream, the reporting line may be to the relevant Head of Unit, Chief, or the designate.
At this level, work is carried out under minimal supervision. Job holders are expected to produce organised and accurate work, undertaking specific business support activities. They may offer guidance on standard practices to more junior staff in their area of work.
JOB PURPOSE
To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.
KEY ACCOUNTABILITIES (not all-inclusive)
1. Gather information using the Helpline from persons of concern spread across the country.
2. Respond to complaints and queries raised and escalate them where appropriate to management, to provide timely and accurate feedback to the persons of concern.
3. Provide regular feedback to the Programme and Policy Assistant (Helpline) and flag high issues of concern from the persons of concern.
4. Prepare accurate, timely monthly reports, and any other reports as required.
5. Manage and respond to incoming calls as well as maintain the feedback Sugar CRM database.
6. Analyse categorize and consolidate information about calls received and issues raised Interact with relevant units within WFP, partners and government to follow up on complaints.
7. Provide regular updates on complaints and feedback from beneficiaries and share with the WFP Uganda field offices, focal persons, implementing partners, and management
8. Share findings and recommendations with the Programme Units.
9. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
10. Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff

STANDARD MINIMUM QUALIFICATIONS
1. University degree or a Diploma with commensurate experience in any of the following fields: Education, Development Studies, Business Studies, or Statistics, communication or related fields;
2. Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work;
3. Proficient in the use of office equipment and computer software packages, such as Microsoft Word;
4. Knowledge of work routines and methods to complete processes under minimal supervision;
5. Uses tact and courtesy to give and receive information to a wide range of individuals;
6. Ability to identify data discrepancies and rectify problems requiring attention;
7. Ability to offer guidance or basic on-the-job training to more junior staff;
8. Language: General Service (Field): Fluency in both oral and written English.
