Purpose of the post
Under supervision of the Operations Manager, this temporary appointment post will support Operations, HR and the office of the Representative in the UNICEF Namibia Country Office by performing a variety clerical and administrative tasks.
Key tasks and responsibilities
Human Resources
Assist the HR Associate in managing staff learning and development, staff well-being, and recruitment and selection of staff and non-staff as follows:
Draft requisitions, administer advertisements and handle candidates for written tests and interviews;
Coordinates training activities, track and record mandatory training activities for all staff especially new recruited staff including UNVs, interns and consultants;
Support and guide UNICEF’s pensioners on electronic medical claim submissions
Registry
Sets up and maintains the Operations filing system and dispose of old files in accordance with established retention schedule;
Registers, classifies and routes incoming correspondence, documents and other material.
Establishes and maintains records system of file movements within the office. Responds to inquiries regarding files, correspondence and references;
Collects reference and background material from registry files, as requested;
Arrange for the dispatch of outgoing communications. Prepares and types correspondence relating to registry activities;
Receive incoming calls and direct calls/queries accordingly, receive visitors for meetings.
Assistance and backup to Senior Executive Associate
Assist with the logistical planning of CO events, Natcom visits etc., including through development of check lists, arrangement of display spots at the venue, ensuring branding visibility etc.;
Maintain a distribution list of all key partners and influential persons;
Assist the Senior Executive Assistant in the mailing process of all locally and internationally produced documents
Property Survey Board (PSB)
Acts as Secretary to the PSB.  Do the physical inventory of property, plant, equipment and tagging of assets
Billing and invoicing
Park vendor invoices in VISION, ensuring General Ledger and funding accuracy and prepare all bills for personal use of telephone and other communications equipment and other amounts due to UNICEF
Performs other duties, as required by the Operations Manager
Recruitment Qualifications
Education
Completion of secondary education, preferably supplemented by technical or university courses related to Human Resources and Communication work of the organization.
Work Experience
A minimum of 4 years of progressively responsible administrative or clerical work experience is required.  Experience in UN or International organization is an asset.
Language Requirements
Fluency in English and local language of the duty station is required.
