How can you make a difference?
Rationale and context of the assignment
The Administration Unit provides a range of administrative support to UNICEF office which includes but not limited to asset management, local and international travel, repairs and maintenance of premises, facilities, of vehicle fleet and its management, office security and organizing conferences and workshops. The office has a total workforce of 132 staff (international professionals and national staff).
This has rendered the Administration Unit understaffed in the immediate short term and unable to efficiently fulfill their mandate.
Administrative support is fundamental to the success of UNICEF operations and as such UNICEF Zimbabwe is looking to hire a paid intern for a period of 6 months to assist and support in the filling in the identified capacity gap.
Scope of work and objectives
UNICEF Zimbabwe requires an enthusiastic, hard-working, determined Administrative Intern to ensure that administrative support is reliable, actionable and of a high standard and quality.
Under the guidance of Administrative Associate, the Intern will assist in the following tasks:
Collecting required administrative data.
Data entry and record management of administration data.
Compiling lists of local sources of procurement, contacts local vendors for price quotations, preparing summary of bids including information on price and conditions of offer.
Maintaining manual and automated procurement files and records; providing purchase information to receiving and inventory staff; maintains procurement supply and vendor reference.
Administering stationery and supplies log sheet.
Ordering business cards and stamps.
Reconciling utility bills – every end of month.
Drafting and managing the manual order register.
Management of the office boardrooms meetings calendar.
Placing catering requests.
Reconciling office water supplies.
Facilitating mobile phone recoveries.
Coordinating official handover and launch ceremonies.
Tagging of assets and related paperwork/filing for inventory management.
Preparing supporting documents for petty cash billings.
Attending to payment queries and proof of payment.
Other duties as assigned by Administrative Associate.
Duration
This will be a full time internship, the duration will be for 6 months from May 2nd – October 10, 2019 (full-time).
Conditions of Intern:
Health/Medical insurance: Intern is required to hold valid health/accident insurance. UNICEF accepts no responsibilities for costs arising from accidents and/or illness incurred during the internship whether on or off UNICEF premises.
Employment: There is no expectancy of employment at the end of the internship.
Visa: UNICEF is not responsible for obtaining any necessary visas.
Facilitation
UNICEF will provide all necessary administrative and logistical support according to guidelines for supporting Interns.

Requirements for Intern: Key Competencies, Skills and Experience
Current eligible undergraduate, graduate and post-graduate students in an Administrative / commercial discipline or equivalent. The candidate may also be a recent graduate in the last 2 years.
Effective communication and organization skills
Computer literate with e-mail, word processing and spreadsheet skills
Good interpersonal skills and ability to interact with multidisciplinary teams.
Good organizational skills
Experience working with youth organization in youth programming or youth engagement is an added advantage.
