OVERVIEW OF THE FUNCTIONS OF THE POST
Knowledge generation, research and foresight are key to UNESCO’s role as a laboratory of ideas in education, and as a lead on the debate on the futures of education. Research is a key modality of generating knowledge as part of UNESCO’s role to inform education decision-making, policy formulation and implementation. Building on a review of research production, an analysis of both global education policy and emerging megatrends, as well as broad on-line and offline consultations, UNESCO’s Research and Foresight programme reinforces UNESCO’s observatory function in education. The programme comprises the global Futures of Education initiative, which aims to generate global engagement and debate on learning and knowledge in relation to the multiple possible futures of humanity and of the planet.
Under the overall authority of the Assistant Director-General for Education, the guidance of the Head of the programme, and the direct supervision of the Project Officer, the incumbent will perform the following tasks:
Support administrative tasks related to the management of the Education Research and Foresight programme, and assist in the implementation of its activities.
Provide administrative and organizational support for events, webinars and experts meetings, by ensuring logistic arrangements are well planned and coordinated as required, including cost-estimates, room reservation, translation and interpretation services, invitations, list of participants, webcasts, recording, transcription of debates, etc.
Provide support in the preparation and follow-up of correspondence, including drafting letters and memos, as well as updating mailing lists and electronic filing systems;
Provide administrative support for contracts by initiating and following up on contract approvals and payments for consultants, in compliance with programme and budgetary requirements and financial regulations;
Prepare missions and travel for the Head of Programme, and assist staff within the team with missions, including preparing supporting documents for travel approval, securing travel arrangements and preparing mission agendas as relevant, as well as ensuring that the necessary logistics are handled in a timely and efficient manner

REQUIRED QUALIFICATIONS
Education
Completed secondary general, technical and/or vocational education preferably followed by secretarial training or post-secondary business administrative studies.
Work Experience
Minimum 5 years of relevant work experience in administrative and/or secretarial tasks.
Experience in programme support in an international environment.
Experience in providing administrative and organizational support for large events.
Skills and competencies
Good interpersonal and communication skills.
Good organization and coordination skills.
Discretion, good sense of judgement and capacity to deal efficiently.
Ability to work as part of a team and to provide quality and timely support and services.
Ability to work under pressure and flexibility to adjust work schedules and priorities;
Excellent IT skills with proficiency in the use of MS Office (Outlook, Word, Excel, PowerPoint, etc.)
Good drafting skills in English and French.
Ability to work in a multicultural environment.
Languages
Excellent knowledge of English or French and good knowledge of the other language
DESIRABLE QUALIFICATIONS
Education
Previous experience with UNESCO and understanding of the Organization, including its administrative procedures and financial process.
Work Experience
Knowledge of UNESCO rules, integrity, professionalism, administrative procedures and standard practices.
Languages
Knowledge of other UNESCO Official languages (Arabic, Chinese, Russian and Spanish).
