role PURPOSE
The Role of the Sponsorship Manager consists in :
Ensuring continuous relations with sponsors to have their support for the implementation of the country strategy.
Supporting the communications between children and sponsors for the children and their communities development.
Establishing and making sustainable relations with sponsors through National Organizations in abroad to bring continuously their support to the children communities for the latter development
Helping children and youth acquire new habits of participation in their communities development.
Managing accurately the resources allocated to sponsorship communications area.
Dimensions of the Role
High finance responsibility in project sponsorship;
Manages and develops the Program of Sponsorship Department
The SM technically supervises the Sponsorship Coordinators and Assistants based in the PIIAs
1 Accountabilities
Manages country sponsorship activities in a prudent manner. To do this:
Performs sponsorship strategic and tactical planning to bring in innovations and best practices in country
Manages the country caseload (new and existing quota) in collaboration with the Program Influence and Implementation Areas (PIIA) Managers for approval by the Country Director
Makes sure that the sponsorship communication activities are in line with the organization’s requirements and Sponsorship Manual guidelines, policies and processes
Prepares, informs, shares and updates all sponsorship policies, processes and procedures
Complies with Plan International’s child protection policy in sponsorship
Develops contacts with other child sponsorship organizations for consensus on areas of operations
Manage all sponsor visits to the country and ensures they are done in a professional and coordinated manner
Prepares guidelines for the process of identifying eligible children for the sponsorship program
Trains PIIA staff, and ensures that children’s club members and local based organization are also trained on sponsorship communication activities, policies and processes
Provides technical support for the PIIAs in the production of sponsorship communication package: AOs (Areas Overview), AUs (Areas Update), , G/CMSC (Graduation, Cancellation Memo of the Sponsored Child) SCI and SCU (Sponsored Child Introduction, Sponsored Child Update) and other sponsorship communication materials
Ensures Gender mainstreaming in sponsorship activities and maintains gender sensitivity to staff and associates
Ensures 100% accuracy of data, timeliness and quality of all sponsorship communications products in country
Prepares growth and phase out plans with the PIIAMs in line with the sponsorship Manual and effectively manage the process
Complies with sponsorship policies and procedures, as described in the Sponsorship Manual
Provides support to PIIAs proactively
Makes sure that Plan International Togo has an effective working relationship with National Offices, WACA and GH with respect to sponsorship
Makes sure that all Plan International sponsorship systems are working and issues reported to helpdesk on time
Makes sure that the country attains not less than 98% sponsorship communications production each month
Makes sure that all sponsorship staff have the correct access rights to ChildData for smooth operations at PIIA and CO level
With the support of the PIIAMs, ensures that the status of sponsored children are checked periodically and National offices updated of any direct changes immediately
With the support of the PIIAMs, ensures that Sponsored Children are visited at least once annually and summary of status reported as per agreed local processes
With the support of the Sponsorship Coordinators, ensures that NOIs are managed in a timely and professional manner in country
With the support of all staff, ensures that sponsors visits are managed effectively, taking into account Plan International Child/ Youth Safeguarding Policy
Prepares weekly communications production status report for the attention of the Country Director
Supports in the supervision and evaluation of sponsorship staff and agents at the PIIA level
Adheres to the local sponsor visit guidelines and process
Identifies and solves sponsorship operational and tactical issues in a timely and effective manner.
Prepares, monitors and implements annual sponsorship operational plans for the country
Builds the capacity of field staff and ensures they are updated with sponsorship policy, processes and new developments
Ensures adequate availability of logistics for sponsorship activities in the country
Organizes, attends and participates in all sponsorship meetings
Conducts quarterly field visits, submit reports and act on it
Fulfills Plan International’s Child / Youth Safeguarding Policy by making sure all sponsorship activities, processes and documents at PIIA level are in line with Plan International’s Child / Youth Safeguarding policy
Performs any other duties to be assigned by the Country Director to support the achievement of organizational goals.

Goals for sponsorship quality;
Accountability standards of effectiveness and efficiency in the achievement of sponsorship related country goals;
Best practices and learning into the country;
Sponsorship staff managed and developed;
Recommendations formulated and translated in the facts to improve the activities of the Department;
Number of communications effectively managed;
Significant contributions in the meetings of the CMT.

The Sponsorship Manager works closely:
In Internal with:
The Resource Mobilization Manager to draw up the sponsorship operational plan ;
All PIIA’s Sponsorship Coordinators to implement the operational plan ;
The Head of Program Implementation to ensure the quality and the program effectiveness with assiduous use of funds and meeting all Plan International delivery standards.
In external with:
The communities for empowerment to carry up children development purpose by themselves;
The NOs for the quality of the reports and the communications;
The Partners at national and regional levels for best practices

Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

Qualification
Master’s degree/equivalent in Marketing/PR/Communications or Development studies/ Social Sciences or related area
Skills & experience
Demonstrated record of excellence in sponsorship or grants support, years professional experience, at least 5 years’ experience in a similar role.

Physical Environment
Based in the Country Office located in Lome with 50% extensive travel in program areas and abroad.

Child Safeguarding policy:
The Sponsorship Manager’s contact with children is medium.
The Sponsorship Manager should comply with the Child and Youth Safeguarding Policy. He/she should align his/her activities with the norms and standards of that policy as far as he/she is concerned. His/her activities should well be aligned with the Business Standard four of Safeguarding Policy: Safe Child Sponsorship. Moreover, he/she is bound with the other standards any time children and youth protection must be promoted.
