DEPARTEMENT : CEO Office – PMO / Special Projects
Responsibilities & Competencies:
PMO support:
1.Assist with roll out of the MTN program and project management delivery operating framework pertaining to projects delivery (BDM or BRIGHT Delivery Methodology)
2.Assist with in-Opco definition of a standard governance and reporting framework for commercial projects and programmes aligned to the BDM framework
3.Support with roll out, and influence adoption and application of project delivery processes
4.Support with QiP process management, from planning support to execution tracking and reporting
5.Track/monitor projects/programs, status of deliverables and milestones on a daily/weekly/monthly basis against plan
6.Monitor project (s) risks, and ensure that interdependencies are identified and taken into account/managed for the smooth running of projects in the portfolio
7.Assist PMO Manager with templates design, dissemination to departmental Project Leads, ensuring consistent use of same within PMO office for projects directly managed by it
8.Maintain PMO dashboards and prepare all reports according to set periodicity
9.Assist PMO Manager with processes definition, validation and dissemination for effective adoption
10.Design, implement and manage Lessons Learned repository
11.Influence adoption of and manage Post Project Review meetings to identify key areas of improvement to be captured into the Lessons Learnt repository and ensure captured lessons learned are efficiently used as best practices
12.Co-ordinate implementation, training and roll out of the upcoming PPM tool, update of all projects in company portfolio on the Tool, storage of project artefacts/documentation for the project and adherence to the related governance processes.
Planning and reporting:
13.Assist with design and implementation of a projects prioritization framework as per the BDM Playbook
14.Ensure project plans are created and maintained, deliverables tracked against time, cost and set objectives
15.Update and administer CPM/QiP (and other) project plan as required and produce update reports
16.Regularly update the RAID log (Risks, Assumptions, Issues, and Decisions) as needed with information captured through discovery sessions with Business Leads, or through projects status reviews with teams…
17.Prepare consolidated material i.e. weekly/monthly status report, QiP execution report and other dashboards… for weekly, monthly, quarterly and annual reviews
18.Liaise with relevant department(s) to establish a Benefits realization framework, design and manage the benefits register and ensure benefits are captured, monitored and effective realization is tracked and reported on
Special Projects management:
1.Direct management of small or low to medium complexity projects and any other ad hoc / special project within the CEO Office
2.Support with project management requests from commercial departments
Other project management support functions:
1.Create and maintain minimum key projects documentation, i.e. project charter, project organization, project plans, project risks register….
2.Ensure standards are published, organize information sessions where necessary to get buy in from business departments
3.Ensure all projects are logged and registered following advertised PMO defined process
4.Implement efficient communication tool and manage communications within the PMO and to key stakeholders
5.Timely execution of ad hoc requests from Line Manager
Job Requirements:
Minimum Qualifications:
oUniversity degree or equivalent qualifications with Project Management as the major subject
oUniversity degree in Project Management or equivalent qualifications e.g. Business Administration with Project Management as major and with relevant experience in Project Management
Experience:
oMinimum 2-4 years’ relevant experience.
o3-5 years’ experience in similar position in telecoms or other service industries
oConcept of project management frameworks and methodologies (e.g. PMBOK, Agile…)
oExperience with program/projects coordination/administration or successfully managing and delivering small to complex projects
oStrong analytical and critical thinking skills
oOutstanding written and verbal communication skills
oSound dose of business acumen required
oExcellent computer skills (MS Office suite, Visio a plus)
oExcellent organization and prioritization skills
oAbility to write high quality professional, accurate, complete, clear reports
oOutstanding organization and problem-solving skills
oAbility to present analyses to and influence all level staff in group and 1:1 situations
oFamiliarity with project management concepts, standards, techniques and tools
oOpen minded, proactive, self-directed/self-starter, high level of integrity and discretion in handling confidential information, strong attention to detail and quality
