GENERAL CONTEXT
Médecins Sans Frontières is an international independent medical-humanitarian organization, which offers assistance to populations in distress, to victims of natural or man-made disasters and to victims of armed conflict, without discrimination and irrespective of race, religion, creed or political affiliation.

MSF is a civil society initiative that brings together individuals committed to the assistance of other human beings in crisis. As such MSF is by choice an association. Each individual working with MSF does it out of conviction and is ready to uphold the values and principles of MSF.

The MSF movement is built around six operational directorates supported by MSF’s 21 sections, 24 associations and other offices together worldwide. MSF OCBA is one of those directorates.

GENERAL OBJECTIVE AND JOB ENVIRONMENT
The overall objective of the Project Coordinator is to oversee the planning and organisation of the Paediatric Days by managing all the resources allocated to the project and facilitating the work of the Committees.

In close collaboration with the Steering Committee and the Project Team. The PC defines the operational strategy for the project. Ensuring compliance to MSF’s charter, ethical standards and policies in order to realize organizational objectives.

Specific Objectives:
a) Oversee the progress and health of the project and ensure its long-term development.
b) Ensure the proper organisation and success of the MSF Paediatric Days event.
c) Develop communication on the Paediatric Days project.

PLACEMENT WITHIN THE ORGANISATION
The Project Coordinator will:

  • Report hierarchically to the Chair of the Steering Committee, currently the Head of Medical Specialties Unit, MSF-Spain.
  • Be the line-manager of the Content Committee Support Officer, the Communication Officer and possible volunteers.
  • Work closely with the Steering Committee, the Content Committee and the Extended Content Committee, inform the Sponsors of the project.
  • Work with other key internal stakeholders (Board members, finance department, communication department).

MSF PAEDIATRIC DAYS PROJECT
Médecins Sans Frontières Paediatric Days is an international event for paediatric field staff, policy makers and academia to exchange ideas, align efforts, inspire and share frontline research to advance urgent paediatric issues of direct concern for the humanitarian field.

In humanitarian settings, children are the most vulnerable group, with the highest risk of disease and mortality. They make up to 60 percent of all MSF patients, however, the humanitarian community is illequipped in addressing neonatal and children’s medical needs. Efforts must be made to deal with the most urgent global health threats to children, such as the fact that the majority of deaths in children under five occur in the neonatal period.

The Paediatric Days is an event co-sponsored by MSF Operational Centre Barcelona Athens (OCBA) and MSF Sweden, whose coordination is entrusted to an international Steering Committee who in turns delegate the planning, management and organization of the Paediatric Days to this Project Coordinator position.

The fifth edition of the event will take place on November 29-30 and December 1, 2022 and will be virtual.

MAIN RESPONSIBILITIES AND TASKS
1. Oversee the progress and health of the project and ensure its long-term development

  • Define and work on the project timeline and ensure proper organisation of all the activities of the project.
  • Organise regular Project Team Meetings.
  • Facilitate the work of the Steering Committee by ensuring a smooth exchange of information, identifying points of escalation, ensuring regular reporting.
  • Manage the budget shared by MSF Operational Centre Barcelona Athens (OCBA) and MSF Sweden: responsible for the expenses, track and update the budget regularly, ensure that all expenditure is recorded and managed following MSF guidelines, collaborate with colleagues from finance departments.
  • Hire new team members, liaise with HR departments during the recruitment processes, provide briefings and organize exit interviews.
  • Information & knowledge management via Microsoft TEAMS.
  • Develop procedure and relevant policy documents for the project.
  • Keep key project documents up to date (governance, logical frame, risk assessment, etc).

2. Ensure the proper organisation and success of the MSF Paediatric Days event

  • Support the Content Committee in its administrative and organisational tasks.
  • Responsible for the online abstract submission system and the planning of the review process.
  • Liaise with the authors of the abstracts (Posters and Oral Presentations preparation).
  • Prepare documentation related to the event (Program, who is who, participant survey, etc…).
  • Responsible for the online registration system and sending information to the attendees.
  • Identify and liaise with service providers for the virtual event (virtual platform, translators, graphic designer, etc).
  • Deal with enquiries from attendees, speakers and other stakeholders.
  • Support the organisation of face to face side events and/or trainings around the Paediatric Days.
  • If relevant, coordinate with Learning & Development Units for the successful organisation of paediatric trainings in liaison with the Paediatric Days.
  • During the event: with the team, ensure a smooth running of the online event according to the program.

3. Develop communication on the Paediatric Days project

  • Liaise with external partner organisations working on humanitarian paediatrics.
  • Work in close collaboration with the Communication Department to develop a communication strategy and plan.
  • Implement all the communication activities to promote the event.
  • Responsible for external communication: manage the Paediatric Days Website, the Twitter account, LinkedIn posts, Journal publications, send newsletters (via Mailchimp), manage Facebook event page.
  • Responsible for internal communication: via Microsoft Teams, Yammer, emails, invite and inform key MSF stakeholders about the event and all the activities related to the project.
  • Collaborate with the Paediatric Working Group to produce content to be published on the website.
  • Translations between French and English as the communication around the event is bilingual.

Expériences / Formation

Education and experience

  • Relevant university degree desirable.
  • 1-3 years of project management experience.
  • Previous experience of managing a professional or academic conference.
  • Work experience in a complex multi-entities organization is an asset.
  • MSF experience desirable.

Languages

  • Mandatory: Fluent spoken and written English and French.
  • Spanish is an advantage.

Knowledge and Skills

  • Strong organizational and planning skills.
  • Ability to handle multiple priorities at one time and to seek help when needed.
  • Excellent communication skills and assertiveness, aptitude for problem solving.
  • Ability to work in a cross-cultural and cross-functional environment.
  • Excellent user of common IT tools.
  • Ability to work autonomously with a remote team.

Salaire

  • Position based in any MSF Office– Contract modality will be subjected to the final location.
  • Duration: 18 months with possibility of extension (covering detachment of the current Project Coordinator to another MSF position for 18 months).
  • Annual salary gross: level 4B (+Secondary benefits based on MSF OCBA Reward Policy). Subjected to local conditions.
  • Starting date: As soon as possible.
