PURPOSE OF POSITION
The purpose of this position is to provide support to his/her supervisor in ensuring that receipt, storage and dispatch of all supplies to and from the warehouse to last beneficiaries are done as per the standards of the organization and donors requirements.
MAJOR RESPONSIBILITIES

  • Work hand to hand with warehouse supervisor to ensure proper counting of GIK receipts validate quantities comparatively to the packing list, report to the sender if any discrepancies at least in two days.
  • Supervise casual labors in GIK loading and off-loading and conduct the physical counting in pieces.
  • Make a physical counting by using an appropriate excel sheet content all information from the Donor as shown from the packing list, report to the GIK Coordinator and resume the packing list accordingly.
  • Conduct a regular field supervision of GIK storage in clusters and ensure dispatches are done respecting rules
-The Donor receive confirmation of GIK sent on due time.

-A detailed report of all items from each GIK shipments is available to show what stored in the warehouse.

-GIK management documents are in place, well filled and filed.

  • Ensure warehouse cleanness and reconciliation of documents is done every day.
  • Ensure proper stacking on pallets and filing all documents related.
  • Maintain update stores inventory record for all stock in a database and ensure all stores record such stock cards, ledger book, among others are updated on daily basis
  • Ensure that in case there is loss/damaged units, necessary action is undertaken immediately.
-Complete GIK documents according to standards and keep space clean

-Easy access in warehouse for dispatches, and easy access on information from files

-Stock card and ledger book are updated.

– Every loss and damaged is immediately reported

  • Enforce inventory internal control procedures on receipt and dispatch of GIK supplies in line with the established inventory procedures and Donor requirements
  • Assist GIK coordinator in organization of GIK movement according to World Vision policies and procedures.
  • To support the GIK Coordinator in a maintaining an accurate and organized filing of GIK documentation including, report from field, physical inventory, internal and external correspondences and make sure that waybills from field and other relative documents are well filled and filed.
  • Prepare a monthly store issue receipts for the GIK purpose by 25th, of every month.
  • Ensure GIK dispatched to field have reached the destination and dispatch waybills are returned from field with confirmation of quantity received
-Have a good filing and availability of GIK received and dispatched as same in the database also in the ledger book

-No GIK dispatches without authorization document provided.

– All GIK documents are filed.

-GIK coordinator has monthly situation of GIK in the warehouse.

-Accountability in GIK management, take part of responsibility

  • Organize a quarterly stock counts in liaison with Finance department provide a record of physical balances for comparison with the ledger and prepare stock take reconciliation report.
  • Comparatively to the GIK ME Database stock is accurate including GIK receipt, Gik distributed & inventory
  • Conducting a closing year inventory in all stores (APs & NO)
– An inventory sheet is completed and approved.

-All GIK items must be recorded per shipment in the ME system

-As required the closing year inventory must be submitted by September 25th.

  • To support GIK Coordinator to promote effective and efficient coordination of GIK, clearance, storage, distribution of whole process of GIK resource-mobilization.
Handle all tasks given timely

KNOWLEDGE, SKILLS AND ABILITIES
-Bachelor’s degree in business administration, Community development, business studies
-A minimum of 1 year warehousing experience and inventory management
-working experience in NGO
-1-2 years working warehouse experience
Preferred Skills, Knowledge and Experience:
-Knowledge in storekeeping ,bookkeeping, clearing, forwarding and distribution
-Logistics planning skills
-Good communication and interpersonal skills
-Computer skills
-Must have analytical skills and attention to details
-Must be a reliable and honest individual
-Must be able to work under pressure
Work Environment:
-Travel 20% domestic/ AP field visit is required
-On call 10%.
