ORGANIZATIONAL CONTEXTUnder the direct supervision of the Admin & Finance Officer, the incumbent will be responsible for the overall accountabilities and job specific requirements outlined hereunder.
JOB PURPOSETo deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.  
KEY ACCOUNTABILITIES (not all-inclusive)• Manage the proper use of WFP vehicles in accordance with UNWFP Vehicles Management Policies and Procedures.• Follow up and verify maintenance of WFP transport vehicles in the field.• Manage fast-moving items including vehicle spare parts.• Keep custody of fuel coupons and issue for drivers accordingly.• Compile, reconcile & send to CO monthly vehicle fuel reconciliation, maintenance, and parts consumption reports on time.• Follow up police and insurance issues when accident occurs.• Produce monthly fuel expenditure report for used coupons.• Facilitate annual inspection of all SO vehicles.• Follow up regular vehicle’s maintenance.• Prepare vehicles maintenance work orders; obtain HoSO/AO approval before sending vehicles for maintenance.• Follow-up with garages on vehicles under maintenance/services• Update fuel and maintenance data into FMS (Fleet Management System);• Generate different reports from FMS.• Prepare monthly fuel requisition.• Daily vehicle allocations and Deployment of vehicles and drivers for the field trips, ensure and keep records of driver’s rotation for field missions and produce reports as required and share with sub-office management and drivers.• Administer the fuel utilization and monitor its consumption against the miles run.• Manage fuel issue of the office generator.• Keep update & post field mission trip schedule of drivers.• Assist in PACE and Performance Evaluation of drivers and other tasks as instructed by the office • Perform other related duties as required.
STANDARD MINIMUM QUALIFICATIONS• Education :    A first university degree in business, finance or other relevant field is required. • Experience : Three or more years of experience in general administrative work.
Knowledge & Skills:
• Ability to use standard office equipments such as printer, photocopier• Knowledge of standardized business support work routines and work methods• Knowledge of standard office software packages, e.g. MS Word and Excel etc• Ability to work to deadlines and follow clear instructionsLanguage: Fluency in English (Written & Oral) and Somali language (Oral) is a must.
