Purpose of job:
The main purpose of the job is to provide business support services to colleagues across our office in Senegal, ensuring that corporate standards are met.
Accountabilities, responsibilities and main duties:
The post-holder will (across operations in Senegal):
Finance
Maintain petty cash, post transactions on SAP and keep accurate records
Request petty cash replenishment as required
Receive cash from Customer Service agents and deposit into bank
Provide Customer Service agents with a cash float
Raise Purchase Orders (PO’s) via SAP/Inter-company portal and confirm receipt of goods and services on SAP
Contact suppliers to obtain quotes and invoices in line with procurement policy. Set up new suppliers as vendors on SAP
Scan invoices and send to shared portal, ensuring payments are made on time
Follow up Purchase Orders on a daily basis to ensure compliance at month-end
Process offline payments, bank payments and IPRES/CSS payments
Collect cheques issued by our global hub and arrange delivery to suppliers
Carry out bank reconciliations
Park standard and accrual journals
Resources
Ensure that there are adequate supplies of stationery in stock
Monitor fuel consumption for the office car and the generator by updating the control spreadsheet. Ensure that we have an adequate supply to meet demand
Support the organisation of events for set-up
Assist the Business Support Manager with health and safety compliance and record administration
Support the Business Support Manager on premises maintenance.
Make travel bookings for colleagues using our preferred supplier. Monitor communication costs, ensuring that reimbursements are made by colleagues for personal use of mobile phones
Assist Business Support Manager with completion of Environmental Assessment Tool
Provide support to the Business Support Manager in updating the contract register and the office inventories
Human Resources Administration
Set up HR files for new members of staff
Provide support on logistics to recruiting managers when organising interviews
Provide support on collection of HR data and mandatory returns such as Conflict of Interest
Provide support to international staff on arrival in Senegal
Skills and Qualifications
Qualified to University degree level, or equivalent by experience
Experience working in a business support role
