PURPOSE

The Assistant plays the role of data, asset and logistics focal of the country office by maintaining a data repository and document archives, an asset inventory and implementing logistics procedures
Supports procurement and recruitment related activities.

ENGAGEMENT

Updates the Country Team, and/or Program Unit on up to date data repository and document archives and asset inventory;
Explain logistics procedures and requirements for external partners who participate in GGGI workshops and meetings.

DELIVERY

Generates and maintains an up to date program data repository of the country program by compiling, cleaning, sorting out and calibrating all program related data;
Compile and file all program related documents for document archives (inventory, library) both electronically and as hard copies;
Manage office facilities and maintain physical asset records;
Ensures inspections and regular maintenance of training & office facilities and corporate vehicles as per procedures of the country;
Provides logistics arrangements with respect to workshops and meetings of the country office including flight and ground transportation arrangements, visa processing, accommodations, and dealing with allowances and expense claims in line with GGGI travel and resource person policies.

Qualifications

Minimum Bachelor degree in Administration, Organizational management international or other area development field and at least 3 years of working experience, preferably in an international setting;
Exceptional skills in building productive working relationships with colleagues, field offices, stakeholders, donors and other partners;
Strong interpersonal skills to work effectively in a collegial manner in a team based context;
Excellent computer skills using Microsoft Office (Word, Excel and Power Point), Database, MS Project, etc., and internet use;
Ability to review, synthesize information and produce high quality donor reports;
Ability to establish priorities in a time-sensitive environment, and meet deadlines with strong attention to detail;
Experience coordinating successful functions and events (workshops, meetings, etc.) that are smoothly run and well-facilitated;
Familiarity with Green Growth and Senegal context with solid experiences dealing with government counterparts;
Excellent communication, presentation and writing skills;
An excellent command of spoken and written English. Fluency in the local language is preferred.
