WFP Ethiopia is working with the government and other humanitarian partners to strengthen the resilience of Ethiopia’s most vulnerable population and to chart a more prosperous and sustainable future for the next generation. The Country Office also supports programmes that use food assistance to empower women, transform areas affected by climate change and keep children in school. It aims to contribute to Ethiopia’s five-year development agenda, the Growth and Transformation Plan (GTP), through which the Government combats food insecurity.
ORGANIZATIONAL CONTEXTThe Business Support Assistant is based in Addis Ababa and will work closely with the Head of Communications and Information Management and their teams. The job holder is expected to take responsibility for completing a range of processes and activities outlined below.
JOB PURPOSETo deliver a wide range of business support processes and activities for a specific professional area of work, to facilitate effective service delivery. 
KEY ACCOUNTABILITIES (not all-inclusive)1. Process and manage routine administrative and financial tasks in various functional areas to contribute to the effective and timely management of resources.2. Collect and collate information for inclusion in reports, documents and correspondence to support the effective work of the two teams.3. Respond to standard queries and provide timely and accurate guidance.4. Manage and maintain records and databases, to ensure information is organized and readily available for staff.5. Maintain relationships with a range of individuals through the provision of business support to assist in information sharing and service delivery to staff.6. Proof-read reports, documents, correspondence, etc, making changes in line with established guidelines where appropriate.7. Contribute to the improvement of business procedures and processes.8. Collect and perform basic analyses of data to contribute to quality business information management.
9. Produce drafts of regular WFP reports and relevant infographics.
10. Liaise with HQ and the RB on reporting requirements and work with CO teams to ensure the relevant inputs and updates are collected.
11. Update and maintain factsheets with the objective of enhancing stakeholder knowledge on WFP interventions in Ethiopia.
12. Assist the Communications team with the development of multimedia and stories.
13. Provide technical support to operational task force meetings.
14. Perform any other related duties as required.
STANDARD MINIMUM QUALIFICATIONSEducation : A University degree in Secretarial Science, Business Management, or another related relevant field.
Experience : Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work. Experience in UN, International NGOs is an added advantage.
Knowledge and Skills :
 • Knowledge of graphic design interfaces. • Exposure to basic data management and analysis. • Effective communication skills with both internal and external stakeholders. • Organizational skills. • Proficient in the use of office equipment and Microsoft Office 365 tools. • Knowledge of databases and SAP/Citrix applications will be an added advantage.    • Knowledge of work routines and methods in order to complete processes under minimal supervision.  • Uses tact and courtesy to give and receive information to a wide range of individuals. • Ability to identify data discrepancies and rectify problems requiring attention. • Ability to offer guidance or basic on-the-job training to more junior staff.
Language : Fluency in both oral and written communication in English. Knowledge of the local language is an added advantage.
