Administrative Assistant – UNICEF South Africa Country Office has been conducting individual giving monthly donations since 2011 and has yielded an annual gross income USD 300,000. Looking at the potential of individual giving market in South Africa, the Country Office is seeking to continue growing the number of individual monthly donors to fund its country programme.
In addition to putting efforts in recruiting new donors, recent evaluation in beginning of 2019 highlighted the need to improve monthly donor retention to keep monthly donors donating for long term. One key gap identified was the country office does not have a staff function for the role of Database and donation processing. This is essential for the sustainability of Individual Giving Fundraising in country office, as per guidance from PFP (Private Fundraising & Partnerships) on PSFR Management in Country Office. https://unicef.sharepoint.com/sites/icon-pfp/how-we-work/country-offices/guidance/Pages/default.aspx
UNICEF South Africa’s Communication and Partnership Section is now recruiting a Administration Assistant at GS 4 level on TA National Appointment to help the team in development and maintenance of donors’ database.
How can you make a difference?
Perform the development and maintenance of an appropriate donor database to ensure the good management of donor data and donation processes from various fundraising activities and maintain the PFP database software program (currently ‘Donor Perfect’). Devise and produce appropriate regular fundraising reports, including for finance unit.
Attend to daily donors’ queries such as on cancellation, up/downgrade etc. of donations or donor details; escalate queries beyond prescribed types to supervisor.
Assist the Fundraising Specialist in the implementation of donor retention and compile reports of results. Provide logistical support and execution will involve working with colleagues from across the UNICEF Indonesia team and with 3rd parties.
Assist the Fundraising Specialist in monitoring the PSFR budget, compiling UNICEF reports as required, performing clerical office duties such as research background material, direct mail/call to the Specialists’ attention, arrange and take minutes/notes at meetings, draft and/or prepare general correspondence of a non-technical nature on issues relating to PSFR.
Undertakes any other duties assigned by the supervisor.
To qualify as an advocate for every child you will have…
Education: Completion of secondary education. Knowledge of marketing, sales, fundraising, and training in the administrative/ clerical field desirable.
Work Experience: At least four 3 years of administrative/clerical experience in the field of sales/marketing/fundraising or related fields office support work experience.
Computer literacy and the ability to effectively use standard office software tools and other office technology such as Microsoft word, excel, to create documentation, exchange and archive e-mail, and maintain electronic filing systems.
Ability to work with minimum supervision. Ability to extract and format data and to solve operational problems. Ability to organize own and others work, set priorities and meet deadlines. Ability to organize meetings and events. Ability to handle work quickly and accurately under time constraints
Experience and knowledge of Donor Database, the United Nations / UNICEF fundraising operations is an asset.
Language Proficiency: Proficiency in English both speaking and writing, is required.
Other Skills and Attributes: Good analytical, typing skills as well as computer literacy and the ability to effectively use standard office software tools, accounting and any database maintenance and other office technology to create documentation, exchange and archive e-mail, and maintain electronic filing systems. Good knowledge on data analysis, formulation and management, records filing, and maintenance, is required.
