1. Background

DRC has been operating in West Africa since 1998. The DRC West Africa Regional Office (hereafter: WARO) is based in Dakar, Senegal, and covers six countries outside of Senegal. Led by the Regional Director, the DRC WARO oversees, supports and provides strategic directions for DRC’s Country Offices within the region, which currently includes Mali, Burkina Faso, the Niger, Nigeria, Cameroon and the Central African Republic.

2. Purpose

Based in the DRC’s WARO, the PATRIP Grant Management Trainee will support the efficient and timely grant management and reporting for the PATRIP Foundation funded project managed by the WARO. The Trainee will also contribute to strengthen the strategic partnership with the PATRIP Foundation, create tailored communication and advocacy products and support with project implementation. The Trainee will work closely with the Border security and management Regional Coordinator within the Multi-Country Operations Department and will have interactions with the Support services and Country Offices in Burkina Faso, Mali and Niger.

3. Duties and Responsibilities

Under the management of the Regional Head of Multi-Country Operations (hereafter: RHOM), and with the technical daily supervision of the Border security and management Regional Coordinator, the PATRIP Grant Management Trainee will have the following tasks:

  • Keep track on and coordinate PATRIP reporting schedule and requirements, as stipulated in the PATRIP implementation guidelines, through the preparation of the Rolling action plan ensuring all relevant staff are aware of their obligations;
  • Draft donor reports with programme managers;
  • Support monitoring, evaluation, accountability and learning related to the PATRIP Foundation funded project;
  • Provide support in liaising and coordinating with programme and support DRC teams at regional office and in country offices to facilitate the implementation of PATRIP Foundation funded project;
  • Manage follow-up of contractual and official information and correspondence with PATRIP;
  • Provide information for the regular updating of DRC’s grants management tool (DRC Dynamics);
  • In coordination with relevant staff, design, maintain and inform internal procedures, systems and tools to facilitate DRC compliance with contractual obligations to PATRIP;
  • Participate in the organisation of regional project reviews, external events and closure meeting for the PATRIP funded project;
  • Draft and/or review communication and advocacy products based on information from country according to priorities defined with the RHOM.

In addition to the above, the Grant Management Trainee may be asked to carry out other duties if manageable and only with the approval of the Regional Head of Multi-Country Operations.

Expériences / Formation

4. Required Qualifications

  • Post-graduate degree/ University Degree (Bachelor or Master) in International Development/ Development Studies, International Relations, Economics, Political Science/ Public Affairs, Business Administration or Management, or another relevant field is required;
  • Proven operational management experience and capability;
  • Significant experience of grant management and understanding of institutional fundraising;
  • Proven significant financial management experience;
  • Significant experience in procurement and tender processes;
  • Excellent communication, interpersonal and influencing skills with a well-developed ability to motivate and persuade at high levels;
  • Full professional fluency in French language (80% of the professional communication in this position will be done in French, including almost all the communication within the WARO);
  • Proficiency (written and spoken) of the English language;
  • Understanding of the different contexts of the West Africa Region;
  • Excellent Computer Skills (MS Office, Internet) and an advanced proficiency in Excel are required.

6. General Regulations

  • The employee shall follow DRC instructions on safety, confidentiality and ethical guidelines, including the Code of Conduct and the Humanitarian Accountability Framework
  • Employee should not engage in any other paid activity during the DRC contract period without prior authorization
  • Employee should not engage in any activity that could harm DRC or the implementation of any project during the DRC contract period
  • Employee should not give interviews to the media or publish project-related photos or other material without prior authorization
  • Employee shall return all borrowed equipment for the project to DRC after the end of the contract period or upon request
