Cadre organisationnelThe United Nations Office at Nairobi (UNON) is the United Nations headquarters in Africa and the representative office of the Secretary-General. We support programme implementation of the United Nations Environment Programme (UNEP), the Resident Coordinator System (RCS) and the United Nations Human Settlements Programme (UNHABITAT) globally, as well as other United Nations offices in Kenya, by providing administrative, conference and information services (www.unon.org). This post is located in the United Nations Office at Nairobi, Central Support Services, Property Management Unit (PMU) and reports to the Chief, Property Management Unit.
ResponsabilitésThe role is responsible to provide data intelligence and analyze findings to enable property management meet the timelines for the Key Performance Indicators (KPISs). Working with property management subunits and key stakeholders use internal and external data to develop reports that will monitor performance and enhance strategic service delivery to clients.
Within delegated authority, the Property Management Assistant (Performance Management and Reporting) will be responsible for the following duties:
1. Identify information sources from Enterprise Resource Planning (ERP) (Umoja) system modules and other systems of record to capture required data for property management business performance. Assist with the timely collection of information on supply chain processes, performance and associate root cause analysis for underperformance which help drive business results and enable decision making process. Perform data cleaning, standardization and data error issues and correct anomalies as detected.2. Extract, analyze, manipulate, integrate, and prepare data for analysis, dashboards, monitoring and visualization, using tools such as Power BI, SAP BI; to develop operational, analytical and strategic reporting solutions.3. Develop, optimize and maintain visualization tools to provide real-time insights to business data. Contribute to design, implement and report on Key Performance Indicators (KPIs) through the life cycle of goods and services.4. Support insight and development of service improvement initiatives following performance data analysis; Prepare recommendations to the Chief of Unit and other stakeholders based on data analysis and independent root cause analysis conducted with key stakeholders/business process owners.5. Working with large data sets and data reporting, prepare and consolidate monthly billing statistics for all property management units.6. Prepare quarterly property management performance reports to be submitted to the Global Asset Management Policy Service (GAMPS).7. Monitor monthly supply chain performance reports so as to run quality checks, highlight anomalies and communicate to relevant stakeholders for correction8. As guided by the Chief of Unit, develop periodic client survey assessments and coordinate follow up for implementation of action plans, within delegated authority, to address the survey feedback and periodic updates.9. Prepare training schedules for equipment focal points as required and facilitate capacity building for focal points in the areas of property management.10. Contribute to the development of policies and procedures, guidelines, standard operating procedures and other guidance material based on the UN regulations and rules, international standards and recommended practices on property management. Assist in operationalization of Self-assessment and performance reporting.11. Support other units within property management in the areas of receiving and inspection, property control, insurance and reporting as and when required.12. Perform any other duties as may be assigned by the Chief of Unit.

FormationA High School diploma or equivalent is required. Supplementary technical training in supply chain, property control or logistics is an advantage.
Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Successful passing of the Administrative Support Assessment Test (ASAT) in English at the United Nations Headquarters (UNHQ), Economic Commission for Africa (ECA), Economic and Social commission for Western Asia (ESCWA), United Nations Office at Geneva (UNOG), United Nations Office at Vienna (UNOV), International Criminal Tribunal for Rwanda (ICTR) or International Criminal Tribunal for the former Yugoslavia (ICTY) may be accepted in lieu of the GGST. The GGST is administered to applicants when required before the administration of a written assessment and/or interview.
Expérience professionnelleA minimum of seven (7) years of progressively responsible experience in property management, logistics management, asset management, inventory control and management, supply chain management or related field is required.
Experience in sourcing, cleaning and preparing data, selecting and developing visualizations/metrics that enable easy communication/interpretation by the users is required.
Experience working with Data Base Management and data manipulation is required.
Experience working in Enterprise Resource Planning (ERP) (SAP/UMOJA), SAP Business Intelligence (BI), Power Bl and Structured Query Language (SQL) analysis tools is required.
Experience in providing property management/logistics support services in an international organization is desirable.
Connaissances linguistiquesEnglish and French are the working languages of the United Nations Secretariat. For the position(s) advertised, fluency in oral and written English is required. Working knowledge of another UN language is an asset.
