General context of the project

INTERSOS is a humanitarian organization that works all over the world bringing assistance to people in danger victims of natural disasters and armed conflicts. It provides first aid, food, shelter, medical assistance and basic goods. It ensures that basic needs, as education, clean water and health, are met.

Managing effectively an agile Supply-Chain guarantees that our missions are well equipped to deliver the required assistance and that all goods and services meet the highest quality specifications.

We are currently looking for a motivated and solution orientated Global Supply Officer to join INTERSOS Logistics Department where it will be involved with the daily Supply-Chain management of our 19 missions across the world.

General purpose of the position

As part of the Headquarters Logistics Department and under the supervision of the the Head of Logistics Unit, the Global Supply Officer will provide operational support to all INTERSOS’s missions/projects with focus on Procurement, Order Management and Freight Transportation. It will also participate in the creation of content for INTERSOS Supply Portal

This position is based in INTERSOS Nairobi Hub in Kenya with frequent travelling to INTERSOS missions and suppliers.

Main responsibilities and tasks

International sourcing and procurement

  • Source and procure of medical supplies, IT and communication equipment, visibility items, among others.
  • Create and manage the INTERSOS’s Global Supply Catalogue
  • Support the preparation, launch and evaluation of tender procedures.
  • Manage the FWA/LTA of INTERSOS international suppliers and third party logistics – including visits to suppliers facilities.
  • Support the HQ Logistics Department on developing effective partnerships with global, regional and country stakeholders to plan for future requirements and develop proactive supply chain strategies
  • Be an expert on market dynamics and the supply base in the main categories of supply, especially in medical commodities

International order management and freight transportation

  • Manage the international order pipeline, acting as the focal point for all missions.
  • Support missions to prepare Purchase Requests and BoQ’s.
  • Follow up orders placed to Humanitarian Procurement Centers and/or our network of international suppliers.
  • Follow up order payment with the Finance department.
  • In coordination with missions and our HQ in Rome support order delivery by liaising with 3PL providers and staff to be deployed on the field.
  • Collect information regarding customs clearance and prepare the necessary documentation for each shipment to be sent to the missions.
  • Perform regular analysis and comparison of freight transportation modalities to our countries of operation.

Other tasks

  • Provide procurement support and/or training to missions when requested both remotely or complemented with field missions.
  • Create and manage content for INTERSOS Logistics & Supply portal.

Job Requirements

Education

Degree in Business Administration, Industrial Engineering or Supply-Chain & Logistics Management or equivalent

Professional Experience

  • Experience in humanitarian logistics management within the field of supply chain management (procurement, tendering, contracting, clearance, transport, warehousing, etc.).
  • Experience in medical supply is highly desirable.

Professional requirements

  • Strong organizational and problem-solving skills with analytic approach.
  • Ability to work in a participatory manner with colleagues to assess needs, implement and monitor supply activities.
  • Some record of experience with donors especially, USAID, ECHO and UN-Agencies specific procedures.
  • Ability to synthesize and analyze information, and make clear, informed decisions
  • Ability to build relationships quickly with a wide range of people, both internally and externally
  • Experience in development and implementation of efficient supply systems, procedures and guidelines.
  • Excellent written and spoken communication and interpersonal skills
  • Cross-cultural experience, understanding and sensitivity
  • Knowledge of using / Implementation of Software / ERP.
  • Willingness and ability to travel in INTERSOS missions.
  • Training and capacity building experience.
  • Proficiency with MS Word and Excel.

Languages

  • Fully proficient in written and spoken French and English
  • Arabic and Spanish are considered as assets.
