The IFRC is led by its Secretary General, and has its Headquarters in Geneva, Switzerland. The Headquarters are organized into three main Divisions: (i) National Society Development and Operations Coordination; (ii) Global Relations, Humanitarian Diplomacy and Digitalization; and (iii) Management Policy, Strategy and Corporate Services. The IFRC has five regional offices in Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. The IFRC also has country cluster delegation and country delegations throughout the world. DMINISTRATION/FINANCE/HR• Personnel administration – covering updating staff leave / sick days, supervision of contracted and daily staff. • In collaboration with supervisors, ensure that a proper briefing and orientation system for new arrivals is set up. • Supervise Office Assistant in making travel and accommodation arrangements. • Provide PNS with the necessary assistance in locating the resources and personnel they require to maintain their programs for the local area. Keep record and inform Beira Admin/HR delegate, Admin Manager on changes in PNS office space. • Maintain fixed assets and insurance. • Coordinate office administration with the MRCS. Supervise that a high standard of cleanliness is maintained at all times in the premises. • Supervise the Office Assistant in ensuring that all visitors are attended to & ensure that the security rules for personnel gaining entry to the premises during office hours are strictly followed. To ensure ordering & stock taking of stationery as & when required. • Ensure that the notice board in the office are regularly updated • Handling a petty cash imprest & maintaining a cash book. Send confirmation on monthly basis to invoice PNS (Finance/Admin). • Ensure the smooth implementation of staff regulations for delegation contracted staff. • Providing delegates and local staff when necessary with assistance with welfare and medical insurances. Consult HR Manager on any HR related issues.
LOGSTICS1. Implement/maintain Federation standard practices in logistics procedures. 2. Procure goods, services and works on behalf of the delegation following Federation standard practises and keeping documentation to full audit trail standards, and provide advice / negotiate contracts required by the delegation for goods and services. 3. Plan and organise the delegation transportation requirements, implement/maintain use of transportation management system for any Federation owned vehicles and assist Logistics Delegate in planning best use of vehicles. 4. Provide timely advice and technical support on logistics issues to other functions within the delegation. 5. Produce regular, timely and accurate narrative and financial reports for the Federation and for donors.
EducationBasic Delegates Training Course or equivalent knowledge Professional qualification in logistics
ExperienceExperience of managing and supporting staff Experience of working for the Red Cross/Red Crescent Experience of working for a humanitarian aid organisation in a developing country 3 years professional experience in general logistics, including warehousing, transportation, customs clearance & procurement
Knowledge, skills and languagesSelf-supporting in computers (Windows, spreadsheets, word-processing) Valid international driving licence (manual gears) Languages English Functional Plus Berlitz level 5 Skills in training and developing staff
