 Organizational Setting
 Through its Country Offices, or FAO Representations, FAO assists governments to develop policies, programmes and projects to address hunger and malnutrition, and provides technical support for the sustainable development of their agricultural, fisheries and forestry sectors and to respond to crises. The administration Associate will be hired under project UNJP/MLW/071/EC. The position will provide administrative support services to all FAO personnel working in FAO Malawi.
Reporting Lines
 The National Administrative associate will be under the overall supervision of the FAO Representative in Malawi and the direct operational supervision of the International administrative Officer.
 Technical Focus:
 The National Administrative Associate will assist with administrative and logistic affairs in general, and be responsible for protocol, travel and security affairs in particular
 Tasks and responsibilities
 The incumbent will work more specifically:
Assist the International Administrative Officer with administrative and logistic affairs at the FAO Representative Office;
Be responsible for protocol affairs, including developing and maintaining relationship with relevant government departments, such as the Ministry of Foreign Affairs and International Cooperation, the Malawi Revenue Authority, the Department of Immigration Affairs and the Road Traffic Department; processing visas, residences permits and identify cards for international staff and consultants; processing in-coming and out-going shipment arrangements, VAT exemption and refund, and car registration for international staff/consultants and the FAO office;
Be responsible for travel affairs, including processing travel authorizations, travel claims, and UNDSS security clearance for FAO staff , consultants, government counterparts and other partners in line with  FAO travel entitlements.; flight and hotel bookings;   preparing Purchase Requisitions and Travel Purchase Orders; liaising with the Logistics Officer to arrange transportation for staff proceeding on field duty missions addition, request for the necessary clearances e.g. NPP Travel Waiver.
Provision of information to the staff on travel including entitlements, travel routes and hotel arrangements.
Be responsible for security affairs, including working as the focal point person of the FAO Representative Office in the UN security management working group; and liaising with UNDSS on all security related affairs;
Performs other tasks as required by the International Administrative Officer.
 CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
Minimum Requirements
University degree in Business Administration or related areas;
At least five years of working experience in administration, protocol or travel management;
Fluent in English speaking and writing;
Good knowledge of computer application, internet and office equipment.
National of Malawi.
