Organizational Setting
FAO’s work in post-disaster and emergency situations emphasizes the protection and rehabilitation of agricultural livelihoods. Following the loss of life, livelihoods and destruction caused by Cyclone Idai in March 2019, The World Bank has availed USD 75 million to finance the Zimbabwe Idai Recovery Project. The ZIRP is a multi-sectoral project addressing both early and mid-term recovery needs in livelihoods, health, education, agriculture. FAO is implementing the agricultural component of the ZIRP which will run over a period of 24 months.
Reporting Lines
Working under the responsibility of the FAO Representative in Zimbabwe, overall supervision of the international Administrative Officer and direct supervision of the National Project Coordinator, the Programme Assistant will provide the following services
Technical Focus
Undertake project administration
Facilitate travel and meeting requirements
Facilitate project procurement processes
 Tasks and responsibilities
 Receive visitors, place and screen telephone calls, answer queries with discretion;
Receive, screen and route incoming and outgoing correspondence through all methods of communications, and ensure timely distribution and follow-up as required;
Type a wide variety of materials from drafts and printed texts, proof-read for corrections, and ensure documents conform to professional presentational standards;
Maintain project files and correspondence
Take notes at meetings, prepare and  distribute minutes;
Prepare local travel authorizations, security clearances on instruction from assigned project officers, ensuring completeness and that all required documents are attached, notably TOR and supervisor concurrence where required;
Prepare payment requests for travel advances, as specified in the underlying travel authorization;
Process Travel Expense Claims for project officers
Prepare Travel Authorisations  and travel expense claims for non FAO  staff and related partners
Coordinate logistics of project meetings, functions including hire of venues, equipment and catering
Initiate actions as planned, ensuring that appropriate and adequate lead time is given in relation to the nature of each action;
On formal instruction, serve as Disbursing Officer at meetings, workshops, seminars, construction sites when required, and account for funds to administration.
Assist in arranging appointments for consultants as appropriate;
Administer project supplies
Facilitate the procurement of  goods and services
 CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
 Minimum Requirements
 BSc Administration with secretarial skills
Five years of working experience and knowledge of modern office procedures
Working knowledge (Level C) of English
Good knowledge of the MS Office applications, Internet and office technology equipment
National of Zimbabwe.
