Job Title:                          Supply Chain ERP Project Lead

Reports to:                       Supply and Logistics Manager (with a dotted line report into the Senior Project Manager)

Liaises with:                     The ability to effectively engage with multiple stakeholders will be critical to the success of this role. While reporting to the Supply and Logistics Manager and being the Logistics Lead on the project, the appointee will be a member of the Project Team and will therefore be reporting to the Senior Project Manager on a day to day basis. The appointee will be the primary logistics focal point for managers and staff across various departments, teams and fields in Concern, primarily with logistics team members and other users of logistics information and with external consulting firms and systems development/integration partners to help deliver a strategic programme of work.

Job location:                    Dublin Head Office. There may be occasional travel to Concern’s overseas country offices.

Pay Band:                         6 (€60,215 – €70,842)

Contract:                          2 Year Fixed Term

Job Purpose: Concern Worldwide has embarked on a strategic business systems upgrade programme. Phase I of that programme – which was concerned with introducing a new CRM and Grant Management systems – is now nearing conclusion. Phase II primarily aims to select, build and introduce a new enterprise resource planning (ERP) system that reaches across two main departments/functions:

  • Logistics/Supply chain: ROI/UK offices and overseas country offices
  • Finance: ROI/UK offices and overseas country offices

The overall objective of this phase/project is to migrate from a legacy finance system and manual logistics procedures to a single integrated ERP solution that will standardise ways of working, delivering significant efficiencies as well as better information and transparency for all users.

Successful implementation of this project will require significant process and behaviour change across the organisation and will entail substantial end user training and change enablement initiatives.

The appointee will lead the logistics components of the design, build, implementation and adoption of the chosen ERP solution. The person will work in close collaboration with the Finance Manager leading the finance side of the project to develop the combined solution.

Key Responsibilities:

  • Form a deep understanding of what the organisation needs from an automated supply chain system (through review and interrogation of the system needs requirement list, workshops facilitated by the Microsoft approved consultant, feedback received from systems and programme staff based overseas and the FHL inter-agency established common data model for humanitarian logistics systems.
  • Update/acquire a thorough understanding of Concern’s existing logistics and supply chain policies, processes, documentation, procedures and reporting requirements.
  • Lead on translating the supply chain system needs and required procedures in to a coherent set of system specifications that support the design and build of the supply chain components of the new system.
  • Ensure that the build addresses needs and priorities by working closely with the implementation partner and through consultations with the Supply and Logistics Unit and other relevant stakeholders and subject matter experts such as Systems Directors, Country Financial Controllers, Logistics Coordinators and programme staff.
  • Lead as the functional focal point with the partner and coordinate with internal teams and staff to answer any logistics related process/data queries in a timely manner avoiding any delay to design and build.
  • If required and with-in budget, recruit and manage additional dedicated support staff as the project progresses.
  • Manage expectations of system users in the early stages of the project and through change management initiatives, ensure a smooth transition for users from the current manual system to an automated ERP solution.
  • Develop test scripts based on the process material and system requirements.
  • Identify subject matter experts for system testing and organise and participate in system testing to ensure that the system operates as required.
  • Develop and deliver an effective training plan and schedule to include development of training materials and delivery of training to both head office and overseas users (including logistics, finance, program and other staff who will use the supply chain system).
  • Lead on identifying all of the types of reporting that will be needed from the new system and work with the partner and other relevant stakeholders to develop these reports using the ERP report writer tools, with supporting dashboards as required.
  • Develop user guidelines for the supply chain modules of the ERP system (for both supply chain system support and users).
  • Keep the Supply and Logistics Manager up to date on all aspects of the project throughout the project lifecycle, including organising project update meetings with key staff.
  • Communicate, in close collaboration with the Senior Project Manager, the project status at scheduled steering group meetings and serve as a central source of project information.

Expériences / Formation

Essential:

  • Professional qualification in supply chain management or a related qualification and at least 3 years post qualification experience
  • Experience working with an INGO
  • Strong organisational and coordination skills
  • Excellent written and verbal communication skills
  • Excellent relationship management skills with the ability to build credibility, work with and influence a variety of colleagues at all levels of the organisation
  • Ability to develop and deliver training
  • Ability to travel

Desirable:

  • Deep understanding of Concern’s logistics procedures
  • Overseas experience in a humanitarian context
  • Experience in ERP introduction, upgrade, or migration projects
  • Project Management formal training and certification (e.g. PRINCE2®)
  • Basic French language
